Terms & Conditions

These Terms & Conditions apply to all race events at the Henham Park Festival of Running (unless stated otherwise). By attending this event, either as a participant, spectator or volunteer, you agree to comply with the following Terms & Conditions.


Any changes made to these Terms & Conditions will be communicated by email to every registered participant prior to an Event, where possible.


All Events are organised by Festival of Running Ltd. If you have any questions, please email contact@henhamrunningfestival.co.uk and a member of the team will be happy to help you.


Participant Entry


  1. Each Event is subject to various age restrictions as set out below, which relate to the age of the participant on the day of the relevant Event.

  2. Contact details, emergency contact details and details of medical conditions for all participants must be held in advance in the case of an emergency.

  3. Following your registration, we will send you information about the Event in advance of the Event day.

  4. Each participant must wear the necessary chip timing equipment (if required for the event), as directed by Festival of Running Ltd.

  5. All participants must cross the start line and follow the course as designed except where otherwise instructed by the Police, Local Authority, or Event Official acting in an emergency. Festival of Running Ltd has the power to disqualify any participant who does not follow the correct course or the instructions of the Emergency Services, Local Authority, and Event Officials.

  6. A participant may only be accompanied by an attendant for all or part of a race if Festival of Running Ltd has been informed of all contact and medical details upon registration. Failure to comply may lead to disqualification.


Entry Fees

  1. Only registered participants who have paid their entry fee (or had the fee paid for them) are eligible to take part in an Event.

  2. Entry fees for an Event are as set out on the Henham Park Festival of Running website (www.henhamrunningfestival.co.uk) at the time of purchase unless a sales promotion is taking place.

  3. Your Event place will not be confirmed until payment has been processed and an email received from us acknowledging that a place has been allocated to you for the Event.


Age Restrictions

  1. Each Event is subject to various age restrictions as set out below, which relate to the age of the participant on the day of the Event. Participants must be able to provide proof of age on the day. We reserve the right to refuse entry to the event, with no refund, to any participant who is underage or is unable to provide proof of age when requested to do so by an Event Official.

  2. All participants aged five and over must pay a registration fee and will be required to complete all relevant details upon registration, including any medical conditions and accessibility requirements.

  3. All participants aged 17 or under must have the permission of the parent/legal guardian.

  4. For a 10k event, all participants must be aged 15 or over on the day of the event.

  5. For a 5k event, all participants must be aged 12 or over on the day of the event.

  6. For the 1k Fun Run, all participants under the age of 8 must be accompanied by a participating adult aged 8 or over. A maximum of 3 children under the age of 8 can be accompanied by one adult. The accompanying adult is expected to be confident at keeping children together and they should complete the course as a group.




  1. Car parking, including disabled bay parking, will be available on site.

  2. All participants wanting to take part in the Event in a wheelchair must state so upon registration or email contact@henhamrunningfestival.co.uk with any relevant details as soon as possible before the Event takes place. Please note that only the 1k Fun Run course is disabled friendly. This course is not tarmac and is uneven in places. 

  3. We regret that the use of mobility scooters is not permitted at this Event. The health and safety of our attendees is of paramount importance to us and we cannot guarantee that each type of mobility scooter will be able to manoeuvre all course routes.

  4. Participants can take part in the 1k Fun Run with prams/pushchairs but in no other events.

  5. All participants who are bringing a pram/pushchair to the Event should use the pram/pushchair to accommodate their child and follow instructions given by Event officials on the day to include starting at the back of the 1k Fun Run to ease congestion.


  1. All participants and supporters must abide by the Terms & Conditions and any rules, instructions or regulations displayed or given on the day of the Event by police and/or Event officials. 

  2. We respectfully ask that all participants and supporters do not use aggressive or abusive language towards our Event organisers, marshals, officials, volunteers, spectators and other participants. You should also avoid behaving in a way which may cause injury or harm to those mentioned, or which may cause offence or damage the reputation of Henham Park or Festival of Running Ltd.

  3. Henham Park Festival of Running opposes the promotion and use of tobacco in all its forms. All participants and supporters are therefore required to refrain from smoking tobacco products or e-cigarettes at all Events.

  4. We respectfully ask that all participants and supporters do not drop litter but instead use the litter and recycling facilities available within the area and around the course or take litter home to dispose of responsibly.

  5. Earphones are permitted to be used during all Events as long as any instructions are clearly followed by any Event officials. An official is permitted to ask a participant to remove his/her earphones if they deem it to be dangerous and/or if it is deemed to put anyone at risk.

  6. We reserve the right to ask participants and supporters to leave an Event if they do not adhere to these Terms & Conditions, and no refunds shall be given in these circumstances.

  7. Dogs are allowed at this event. Any participant bringing a dog to an Event must act in a responsible manner by making sure that:

  • The dog is kept on a lead, under close control at all times, and any equipment (muzzle/harness, etc.) used to control the dog is employed on the day.

  • The dog has a collar with a clearly identifiable tag.

  • Adequate water is supplied for the dog to keep them hydrated.

  • Any dog mess is cleaned up and disposed of responsibly.

  • There is to be no contact with any sheep present on the day of an Event.

  • All instructions given by the Event Coordinator and officials on the day are adhered to.​




  1. Follow the whole of the course as designed, unless you are leaving it for the purpose of retirement, in which event you may proceed to the nearest Event Official by a practically convenient route.

  2. You should not jostle at stiles and other obstacles. Nor should you push past slower runners on narrow paths.

  3. If you come across another competitor who is ill or hurt, you MUST offer assistance.

  4. If you wish to retire from the race you must report this to the nearest Event official and to the finish, and then remove your number. If you become physically incapable of personally reporting, you should endeavour to get a message passed to an official.

  5. Retire immediately if asked to do so by an Event Official.

Health & Safety and Medical


  1. We take all reasonable steps to minimise the risk of injury to participants during events. Stringent risk assessment processes are in place for the events which aim to minimise or eliminate the risk to everyone taking part. By taking part in an Event, all participants acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks. If you have any concerns or queries please contact us on contact@henhamrunningfestival.co.uk before agreeing to take part in an Event.

  2. All participants in the 1k Fun Run under the age of 8 must be accompanied at all times by their parent or legal guardian (or by a primary entrant who has the permission of that participant’s parent or legal guardian).

  3. Participants are responsible for ensuring that they are sufficiently fit and healthy to take part in their Event(s). Anyone unsure of their physical ability to take part in an Event must seek medical advice from a general practitioner prior to the Event. It is recommended that pregnant women should consult their general practitioner before taking part in an Event and inform us of their condition in advance of an event.

  4. Notwithstanding rule 2 above, we reserve the right to refuse entry to an Event in our absolute discretion, with no refund provided, if for whatever reason we consider a person unfit to take part. We may also ask you to withdraw during an Event if we have concerns about your ability to complete it due to fitness, injury or otherwise. If you choose to continue you do so with the understanding that you are no longer considered a participant of the Event and that you absolve us of all and any responsibility, and progress entirely at your own risk.

  5. Please note that sheep may be present at the Event and all persons attending an Event are expected to behave in a responsible way if contact is made. Contact should be avoided at all times.

  6. Participants are responsible for ensuring that they are wearing appropriate attire (including footwear) when taking part in an Event, taking into account the nature of the Event, the weather forecast and the terrain involved.

  7. All participants must write the following on the reverse of their official Henham Park Festival of Running number, which must be worn on the front of shirts during the Event:

  • Their name.

  • The details of any health problems or current medication.

  • The name and number of a person to contact in case of an emergency.



  1. ​​​​All participants and spectators enter and attend an Event entirely at their own risk. We shall not be liable for any injury, damage or loss to participants or their property that might occur as a result of their participation or attendance at an Event, other than in respect of any injury or loss arising as a result of our negligence. For the avoidance of doubt, nothing in this clause shall exclude or limit our liability for any liability that cannot be excluded or limited by law.


Filming and Photography


  1. Please note that Festival of Running Ltd (or our authorised service providers and agents) may film or photograph participants, volunteers and spectators taking part or attending Events and use such footage or photographs to publicise for the following reasons: (i) for Festival of Running Ltd to publicise the Event for commercial purposes; (ii) for our sponsor(s) to publicise their involvement and/or association with the Event; and (iii) for participants and spectators to purchase as memorabilia for an Event.

  2. No personal details (including names) of any participants under the age of 16 will be used in any publicity materials without the written consent of their parent or legal guardian, but we may use images where children are incidentally included e.g. of mass participation in the warm-up exercises, or on the starting line.

  3. Subject to rule 2 above, please only register a participant under the age of 16 if the participant’s parent/legal guardian (as applicable) are happy for their images to be used in the manner described in these Terms & Conditions.


Use of your Information


  1. By providing your information when you register for an Event, we will use this information for the purposes of organising, staging and administering the Event. If you provide personal information on behalf of additional entrants, please only provide this if they have confirmed that they are happy for you to do so as we will use this information for the same purposes. In the case of an emergency, we may also pass personal details provided (either when registering for the Event or on the reverse of your Event number) to the emergency services or health care professionals, and also use them for the purposes of contacting your emergency contact.

  2. First aid facilities will be provided at each Event. If you are treated by medical providers at an Event, your details may be passed on to us only for health and safety purposes and to fulfil our legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995). All accident details will be held on the Henham Park Festival of Running Accident Database.

  3. Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about an Event when registering for an Event.

  4. All personal information held by us will be handled in accordance with applicable privacy laws.


Changes and Last Minute Arrangements


  1. Participants arriving late must abide by the instructions and decisions of the Event Coordinator or their representative at the registration tent. For health and safety reasons, it is possible that latecomers will not be permitted to take part.

  2. We reserve the right to refuse entry to participants who try to take part in the wrong Event distance or start time without prior approval.

  3. We reserve the right to reduce or alter Event courses to accommodate any unexpected complications on the day that may have an impact on Event staff, participants, volunteers and spectators.

  4. With regards to rules 1 – 3 above, no refunds will be permitted.




  1. All event Entry fees are non-refundable. We ask that you let us know as soon as possible if you need or want to withdraw from an Event for any reason.

  2. Where an event is cancelled or changed because of adverse weather or other factors outside of our reasonable control (force majeure), we shall not be liable to make any refund or pay any compensation – either for event entry fees or any other personal costs incurred by you.

  3. In a situation where an event is cancelled prior to its starting, for any other reason, the maximum possible refund will be made to participants, less any reasonable unrecoverable expenses. We shall not be liable to pay any compensation.


Events Outside Our Control


  1. We will not be liable or responsible for any failure to perform or delay in performance of, any of our obligations that are caused by an Event Outside Our Control.

  2. An Event Outside Our Control means any act or event beyond our reasonable control, including without limitation strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster, or failure of public or private telecommunications networks, the use of railways, shipping, aircraft, motor transport or other means of public or private transport.

  3. If an Event Outside Our Control takes place that affects us: (a) we will contact You as soon as reasonably possible to notify You; and (b) our obligations will be suspended and the time for performance of our obligations will be extended for the duration of the Event Outside Our Control.

  4. We shall not be held to be in breach of its obligations, nor be liable to You for any loss or damage which may be suffered by another party due to any cause beyond our reasonable control including without limitation any act of God, fire, storm, flood, lightning, disease, strike, trade dispute, act of terrorism, any act or omission of government or regulatory bodies or communications operators.
